            Meeting called to order at 5:00pm.

Present at the meeting were R. Clarke, J. Fitzsimmons, D. Serieka and W. Howe, Trustees, N. Cahill and R. DeFilippo representing APT, Inc. H. Tillman, Communications Committee also attended along with former Trustee Joel Alpert.

May Minutes:  Approved.

Procedural Note: In these minutes, action items are bold and italicized.

Interim Approvals:

            The Trustees voted by e-mail to spend $1,250 for front entrance perennials and replacement bushes for four units. The Trustees also approved adding Rudbeckia, Stella D'Oro day lilies, Myrtle and Pachysandra to the Handbook list of approved perennials.

Financial Matters:

 The Trustees reviewed and accepted the April 2010 Financial Report. So far, we are tracking to the overall budget with typical offsetting overages and underages.

 H. Tillman is working with APT to align their expense categories with those used in prior years and as shown in the annual audit. This will facilitate future spreadsheet analysis.

Maintenance Report:

            The Trustees have reviewed the May weekly maintenance reports on-line.

.           The Maintenance Supervisor has inspected the problematic work done by Prime Touch during the Envelope Project at six units and found numerous failures to properly install flashing and Weathershield. APT will contact the Prime Touch principal who has promised to remediate all units where siding is not properly installed. So far, no serious damage, similar to 9 KM, has been found.

            Owners of 9, 10 and 12 VBW have been notified that porch baluster repairs are necessary with further inspections by the Maintenance Supervisor to be completed this month.

            APT will notify the owner of 15 KM that the renter is violating several truck parking and visitor space requirements.

            Vanaria has agreed to add mulch to the front entrance now that perennial planting has been completed and APT will have Vanaria repair turf damage to the VBW circle caused by an 11 VBW delivery vehicle.

            Drainage inspection and remediation at MG was completed at a cost of $365, well below anticipated and previously approved amounts. 

            Crushed rock and paver specs were provided at the last meeting and will be added to the Handbook shortly.

Irrigation

As discussed at the May meeting, the Vine Brook Way irrigation well was running out of water after 25 minutes of running time. The existing well was inspection by Ogden Well, Rollins Co. and American Artesian Well.  Option A is to drill a new well. Option B is to hydro-frack the existing well but there is no guarantee that  there will be enough water generated to sustain the irrigation system. Below is the cost comparison for the three well companies. All three companies will charge extra for water quality analysis and permits. The prices do not include the cost of trenching, back filling and the wiring of pumps.

Siding at 17 SMB

As stated in the report generated by S.K. Forbes, the Cedar Impressions siding is failing at the end gable of 17SMB. The unit owner has experienced many leaks and any repairs have generated limited results. The March rains generated more leaks. Below are three quotes to replace the area of siding:

Management Report Meeting Updates:

            APT has not made progress on hiring a civil engineer to oversee 2010 drainage work. APT will provide the names of candidates forthwith to R. Clarke who will get this moving.

            APT will charge penalty fees for all overdue water heater reporting and installation as previously noticed and as provided in our By-Laws as amended.

            APT will also follow our By-Laws in imposing additional penalties on chronic overdues.

            The Trustees approved the hiring of Ogden subject to a final checking with the Vanaria Company which recommended them. APT will also procure at least two bids for the related electrical work. APT will investigate possible rust prevention programs as part of the project.

            The Trustees approved the hiring of Craftsman Restoration to do repairs at 17 SMB at a cost not to exceed $4,600.

Landscaping/ Special Landscaping:

            Planting of perennials in now complete at the front entrance and overhanging trees have been trimmed in conjunction with other ongoing tree work on site.

            Unfortunately, APT ordered a watering system without a pump mechanism so that the Maintenance Supervisor, supported by volunteers on the weekend, will have to water our new plantings without appropriate equipment for the foreseeable future.

Replacement bushes have been provided to 4 units where front bushes have either died or been impaired.

            APT will insist that Vanaria's tree crew check in with the Landscaping Chair before commencing any pruning of trees under 15'.

Old Business:

            The owner of 7 SMB will speak with at least one contractor regarding basement water leakage from the spring storms. APT will confirm the prior cost and funding of a similar problem at another unit several years ago.
